Committees

PUT YOURSELF ON A COMMITTEE: Call Bill Cotrofeld if you wish to be added or removed from a list. If there is a hole for a chair...please note in your E-mail if you wish this role. We need at least 3 people on each committee, but will always accept more.

COMMITTEE RULES: Committees must meet at least once a year as a group. The rest of the year communication may be by phone, in person, or e-mail. If a committee member has no e-mail, make sure you keep them up-to-date with every conversation, or find another way to communicate. Only the Chairman of the committee should report to the president or to the club during a meeting. The Chairman's report to the president on any given matter must include the opinions of all members of the committee. The committee should report findings to the president before presenting it to the club.

MEMBERSHIP COMMITTEE: In charge of keeping track of who is a member, who owes money for membership, which members want an electronic vs. paper copy of the newsletter, giving out membership cards, family vs. single vs. student members, providing the newsletter committee with labels before the 18th of any given month, etc.

PROGRAM COMMITTEE: In charge of compiling an entire list of who speaks at the monthly meetings for the year, still early on in the year. Must present this information to the Newsletter staff before the 18th of any given month.

SHOW COMMITTEE: In charge of getting things together for the February Mineral Show at the New York State Museum in Albany and volunteering their time. Chair must delegate out to members all the duties needed to have the show run smoothly.

FIELD TRIP COMMITTEE: Meets early on (usually March) to determine the list of field trips for the year. Provides a list of tentative field trips for the February Albany Mineral Show.

AUCTION COMMITTEE:In charge of making sure the silent and/or live auctions at the club banquets run smoothly and not create pure chaos.

MONTHLY RAFFLE COMMITTEE: In charge of choosing raffle items from the club cabinet and putting them on table for display by members before the monthly meetings, selling raffle tickets, and calling out raffle numbers at meetings.

BANQUET COMMITTEE: In charge of choosing the menu and location for the June and December Banquets.

SCHOLARSHIP COMMITTEE: In charge of choosing which who gets the scholarship within the guidelines set up by the Board of Directors of the club.

LIBRARY COMMITTEE:In charge of the organizing the library, keeper of the key, keeping track of who takes books out, and ordering new library books within the confines of the club budget.

AUDITING COMMITTEE: In charge of a once a year auditing of the club books (or more if necessary).

GREETING / ICE CREAM COMMITTEE: In charge of making sure new members and visitors to the club meetings feel like a part of the group rather than outsiders. The keeper of the nametags.

NEWSLETTER COMMITTEE: In charge of writing articles for the newsletter, putting it all together, folding, photocopies, putting on labels (provided by membership committee before the 18th of the month), and adding stamps.
